Class Art Projects
- Coordinate with room parents to develop art projects for each class and ensure art projects are completed in time
- Ensure room parents have arranged for art projects to be delivered to key school to display before auction and to auction site
Teacher Features
- Coordinate with teachers to develop teacher feature donations
- Ensure teacher donations are delivered to co-chairs
Donation Logistics
- Maintain Spreadsheet tracking donors and donations
- Organize and store donations
Registration and Check-out
- Assign bidder numbers to attendees
- Organize check-in and check-out process
- Recruit and organize volunteers for check-in/greeters, silent and live auction help, and check-out
Silent and Live Auction Set-up and Closing
- Organize volunteers to help set-up for silent auction
- Create Bid Sheets for silent auction
- Display donations for silent auction
- Track and monitor closing of silent and live auction
- Coordinate volunteers (runners) for live auction
Theme/Décor
- Develop theme for auction with co-chairs
- Create decorations for auction
Desktop and Design Layout
- Design and produce invitations
- Design and print catalogs
- Design and print posters/banners
Master of Ceremonies
- Open live auction, introduce co-chairs, announce raffle winner, introduce auctioneer
Slide Show
- Collect photos from parents or teachers for slide show
- Create slide show
- Display photos during silent auction
Advertisements
- Solicit and sell ad space in the auction catalog
- Contact parents to place ads in auction catalog
- Submit print ad materials/photos to catalog committee co-chair
Raffle
- Obtain raffle license from DC
- Design and print raffle tickets
- Organize volunteers to sell raffle tickets
- Track distribution of raffle tickets and cash received
- Complete financial report re:raffle for DC government after auction
Invitations
- Prepare invitation list and labels
- Address and mail invitations
- Create list to track RSVP's
On-site Auction Games
- Create and design revenue-generating games for auction (i.e. Grab-bag, heads or tails, etc.)
